TRAINING MANUALS AND GUIDELINES FOR INVOICE SUBMISSION TO BGIS PORTAL


Portal: BGIS Oracle  

 

  • Can submit invoices, inquire on status, submit credit memos, manage users, and view POs/workorders 

  • Cannot submit invoices where no WO or PO is provided or update your company's info in BGIS records

Supplier Portal  

  

  • Manager Orders - managing the POs you have open  

    • Can see the status and the amount of funds available  

  • View Invoices - shows the invoices you have submitted - click on your vendor name and then search - can filter as you like in columns  

 

Invoices  

 

  • Can add additional documents in the attachments  

  • MUST have a valid BGIS PO or WO #  

  • Incomplete invoices:  

    • Number and Date (*), must add attachments in PDF or excel format.  

    • Need to enter the amount without taxes (see more under "Create Invoice" 

    • If you make a mistake, can press "cancel" and start and new invoice  

    • When reversing an invoice: include REV in invoice name  

  • On hold invoices:  

    • Click "on hold" and it will display the reason for being on hold, and can always reach out to them  

 

Create Invoice  

 

  • All required fields indicated with *  

    • PO number  

    • The site address, your specific invoice number, date (must be current), type (e.g. invoice, credit memo, etc)  

    • Attach invoice either in PDF or Excel format  

    • Once you submit, will show your whole line - ensure that all matches and will show you the remaining funds  

    • **AMOUNT MUST MATCH PRIOR TO THE TAXES (SUBTOTAL) AND THEN YOU ADD THE TAX  

      • UNDER "INVOICE ACTIONS" CLICK CALCULATE TAX - tax is calculate based on the province you choose under "Ship- to Location"  

 

 

 

Manage Profile - FOR AR  

 

  • Will be able to see all of your profile info (for AR - email to be AR email).
